Club Service Outline

Service in Rotary originally fitted into a number of clearly defined directorships. Club service is the oldest.

Without reflecting at all on my predecessors in Club Service I feel that there is a need to redefine the role of Club Service and who belongs to the Club Service Committee.

In a nutshell and given that the title is self explanatory, the Club Service Committee is responsible to the Board of the Club and beyond that, to the Club itself for all matters that relate to the administration of the Club; the week by week smooth running of the Club and the continuing existence of the Club. It is responsible also for the Club’s ongoing relationship with the District. In a sense, Club Service is inward looking. International, Community, Vocational and Youth service are all outward looking.

In more specific terms then Club Service is responsible for:
· Meeting times
· Venue
· Catering
· Meal and extraneous costs
· Bar and beverages
· Evening program, format and timings
· Attendance records
· Finances
· Correspondence (secretarial support)
· Club equipment and paraphernalia - storage
· Club activities away from the Club venue; ie, dining out, visits to other Clubs
· Membership development and classification
· Rosters
· Guest speakers and entertainment
· Standards of dress and behaviour
· Rotary information
· Club history
· Promotion and media
And no doubt other matters that arise from time to time.

Unlike other Club committees that tend to have a more corporate responsibility to their particular avenue of service, Club Service responsibilities are individually delegated to named Club Members who may also be part of one of the other Club Committees. This is particularly true of small Clubs. The Director of Club Service may undertake one of those separate functions but the Director’s responsibility is principally to see that there are no gaps and all responsibilities are met.

These are the members who would normally attend a meeting of the Club Service Committee. Other members who perform a Club Service function may be requested to attend any specific meeting of the Committee.
